Guidance for partners

The National Archives is often approached by other organisations to be a partner in projects that they are leading and for which they are seeking external funding.

We are very keen to work in partnership on good quality projects. However, we have a finite capacity.

To determine whether we are able to support and commit resources to your proposed project, we need to understand more about it.

How to submit a proposal

To submit an idea for a potential partnership with The National Archives, please complete the attached proposal form.

You should submit your proposal at least four months in advance of any application deadline. However if there is a sudden announcement of a funding round we may waive the four months notice.

Alternatively, you may prepare a submission that contains all the following information. Your submission should not exceed three sides of A4 paper.

About the project

  • Name of project
  • The project lead within your organisation
  • A brief description, including the project's aims, objectives, methodology and proposed outputs and outcomes
  • Any other partners to be involved, their role, and current state of commitment (and any previous joint working)
  • Indicative budget for the project, identifying its different elements
  • Proposed timetable for the project, setting out key milestones, including clear start and finish dates
  • Clear exit strategy
  • Proposed funding source/programme and any relevant deadline (if known)

About our role in the project

  • Named contact at The National Archives (if established)
  • A description of The National Archives' role
  • Whether there is a cost implication for The National Archives: will we be reimbursed in full for costs incurred, or are we effectively being asked to subsidise the project?
  • How much time our staff will need to devote to the project, either in directly working on the project or in attending meetings
  • What benefits The National Archives could gain from being a partner. These could be 'direct' (for example, improving the service we offer to the public or enhancements to our Catalogue) or 'indirect' (such as reputational benefits). You should also state how our involvement with the project could further the delivery of the Vision, or contribute to our research themes

How we assess proposals

Our External Funding Panel, which meets monthly, will assess the proposal to see whether it will be possible for us act as a partner. We will then let you know in principle whether The National Archives is able to support your application.
